- personalisation details such as names, ages or wording;
- photographs, artwork or images you upload for personalised products;

- information needed to resolve delivery, refund or customer-service enquiries.
Our website may also automatically collect limited technical information such as browser type, device type, operating system, pages viewed, website performance information and approximate location information through the website platform.
2. How we use your information
We use personal information where necessary to:
- process and fulfil your order;
- personalise and print your cake toppers;
- process payment;
- deliver your order;
- communicate with you about your purchase;
- respond to enquiries;
- resolve problems, refunds or complaints;
- prevent fraud and maintain website security;
- maintain business, tax and accounting records; and
- understand how our website is being used and improve its performance.
Depending on the purpose, our lawful basis for processing your personal information will normally be the performance of a contract, compliance with a legal obligation, our legitimate interests in operating and protecting our business, or consent where appropriate.
3. Payment information
Payments may be processed using Stripe and PayPal.
When you pay by card or PayPal, your payment information is processed by the relevant payment provider in accordance with its own privacy practices.
We do not intentionally store your full payment-card details on our own website or business systems.
4. Photos, artwork and personalised designs
If you purchase a Design Your Own product, you may upload a photograph, image, logo or artwork for us to reproduce on your edible topper.
We use uploaded files only as necessary to:
- create and fulfil your order;
- communicate with you about the design where required; and
- resolve any issue relating to the order.
We do not use customer-uploaded photographs or artwork for unrelated marketing or promotional purposes without your permission.
Please only upload images that you are entitled to use and that you are comfortable providing to us for the purpose of fulfilling your order.
5. Who we share your information with
We only share personal information where reasonably necessary to operate our business and fulfil your order.
This may include:
- Articulation Sites, which hosts and operates our website;
- Stripe and PayPal, for payment processing;
- postal and delivery providers such as Royal Mail;
- email and website-service providers;
- professional advisers such as accountants where necessary; and
- law enforcement, regulators or other authorities where disclosure is legally required.
We do not sell your personal information.
6. Website statistics and cookies
Our website is hosted using Articulation Sites.
Articulation provides built-in privacy-focused website statistics. Its default statistics do not rely on third-party advertising trackers or require us to install external analytics tools.
The platform may also process technical information such as browser and device information, performance data, pages viewed and approximate location information in order to provide, maintain and secure its services.
We currently do not intend to use additional third-party advertising or behavioural tracking tools such as Google Analytics, Meta Pixel or similar services.
If we introduce additional analytics, advertising or marketing technologies in future, we will update our privacy and cookie information and obtain consent where required.
7. How long we keep your information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including satisfying legal, accounting and tax requirements.
Order and transaction records may therefore be retained for longer than information that is only required temporarily to fulfil a personalised order.
Uploaded photographs and artwork do not need to be retained indefinitely and may be deleted once they are no longer reasonably required for order fulfilment, customer service or resolving an order-related issue.
Where possible, we periodically delete or anonymise information that we no longer need.
8. Keeping your information secure
We take reasonable measures to protect personal information against loss, misuse, unauthorised access, alteration or disclosure.
We also use established third-party providers for services such as website hosting and payment processing rather than storing sensitive payment information ourselves.
No internet-based service can guarantee absolute security.
9. Your data protection rights
Depending on the circumstances, UK data protection law may give you the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct inaccurate or incomplete information;
- ask us to delete your personal information;
- ask us to restrict how your information is used;
- object to certain uses of your information;
- request transfer of certain information; and
- withdraw consent where we rely on consent.
These rights are subject to legal conditions and exceptions.
To exercise any of these rights, please contact hello@bluevanilladesigns.com.
10. International transfers
Some of the service providers we use may process information outside the United Kingdom.
Where personal information is transferred internationally, appropriate safeguards will be used where required by applicable data protection law.
11. Marketing
We will not automatically add you to a marketing mailing list simply because you place an order.
If we introduce email marketing, we will provide appropriate information and choices when collecting your details and comply with applicable UK electronic-marketing requirements.
You will be able to unsubscribe from marketing communications at any time.
12. Complaints
If you have a concern about how we have used your personal information, please contact us first at hello@bluevanilladesigns.com.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK's independent regulator for data protection.
13. Changes to this Privacy Policy
